Uploading transactions data

Uploading your sales data allows Herdify to refresh the BeSeen model and create a new audience that can be used for campaign targeting.

To do this we need access to your transactions data. The most popular way to share that with us is to upload it through the portal, following the instructions below.

Requirements

The system requires 6 fields from your transaction history.

For every transaction, we need:

  • Transaction ID – A unique identifier for each purchase.
  • Customer identifier – A unique identifier for each customer, for example a customer number.
  • Purchase date – The date of the purchase. The data should include all sales for a customer, not just their first/last.
  • Billing postcode – The postcode for the billing address.
  • Purchase value – The total value of the purchase.
  • Purchase currency - A 3 digit code for currency the purchase was made in e.g. GBP for pounds sterling.

For best results, please upload your full transaction history. If you're a newer brand, please ensure you have at least two years of transaction data.

Pre-requisites

Before you begin, make sure you have the following:

  1. Herdify portal account: To upload transactions data you need an account on the Herdify portal.
  2. Data file: You need a CSV or Excel file that meets the data requirements above.

Importing CSV or Excel data

1. Ensure you are in the correct workspace

If you have multiple workspaces use the selector in the top right corner of the portal to select the one you want to upload transactions data to.

2. Navigate to the data import

To access the Data Import feature in the Herdify portal, go to [Audience > Refresh Audience]. Then, click on the "Upload File" button. You will be prompted to confirm you are in the workspace you want to upload transactions data to. To proceed click "OK".

3. Upload file

Click on "Upload a CSV or Excel file" to browse your files and select the one you want to upload. Alternatively, drag and drop the file into the designated area.

4. Map columns

You will be presented with a screen to map the columns in your file to the required fields. Ensure that the mapping is correct and make adjustments as necessary. An asterisk (*) indicates that a column is required. Any additional columns may be deleted. Once you are satisfied, click "Apply Mappings".

5. Data validation:

The system will perform data validation checks, and show you a screen where you can easily make amendments. Common validations are:

  1. No duplicate transaction IDs: If the data contains duplicate transaction IDs, you will see a red box in the transaction_id column. Click the red box to view duplicates, and remove or amend columns as necessary.
  2. Postcode formatting: If the postcode field is in a non-standard format, you will be suggested new values in the correct format. To fix all formatting errors at once, click "Fix formatting errors" under "postcode" in the right-hand tab.
  3. Date formatting: If the date field is in a non-standard format, you will be suggested new values in the correct format. To fix all formatting errors at once, click "Fix formatting errors" under "date" in the right-hand tab.
  4. Other formatting problems: After completing the above checks, there still may be problems highlighted in red. You will need to identify the source of the errors and address these individually. You can find information on common solutions in the manual upload section in the top left of this page.

6. Send to Herdify

Once all formatting errors have been corrected, a message will appear to indicate that your file is ready for import. Click on the "Send to Herdify" button located in the right hand panel to import your transactions data. If you wish to retain a copy of your transactions, you can do so using the "Export" button.
